Terms and Conditions help you clearly communicate your policies and ensure students, parents and bookers agree to them before submitting information or making a booking.
Membermeister allows you to set your Terms and Conditions once at account level, and then enable them on the forms where you require acceptance.
This article explains how to set them up, how they appear on each form, and how acceptance is recorded.
1. Configure the URL to your Terms and Conditions
Before you can enable Terms and Conditions on any form in membermeister, you must first provide a URL (web address) to link to your Terms and Conditions page or PDF. This means your Terms and Conditions must be publicly accessible online.
Add your Terms and Conditions link
Navigate to Account Settings
Scroll to the Account Preferences section
Enter the link to your Terms and Conditions
Select Save changes
Once your link is added, you can enable Terms and Conditions on different forms throughout Membermeister.
Important
The options described below will only be available once you have added your Terms and Conditions link in Account Preferences as described above.
2. Enabling Terms and Conditions acceptance
You can require acceptance of your Terms and Conditions in three places:
Confirmation Form (used when existing students update their own details)
Registration Form
Use this if you want new students (or parents) to accept your Terms and Conditions when completing your online registration form.
To enable
Navigate to the Account Settings page
Scroll down to the Online Registration Form section
Select Edit form
Select Enable Terms and Conditions for registrations
Save
When enabled, a required Terms and Conditions checkbox appears at the bottom of the registration form. The label will automatically link to the Terms and Conditions URL you provided in Account Preferences.
Confirmation Form (Update-Your-Details Form)
This form is used when parents or students update their own information. You can optionally require them to re-confirm your Terms and Conditions during this process.
To enable:
Go to Account Settings
Find the Confirmation Form section
Click Edit form
Tick Enable Terms and Conditions for confirmations
Save
When enabled, the form will display a required acceptance checkbox linking to your Terms and Conditions.
Online Booking Process
You can also require bookers to accept your Terms and Conditions during the checkout process for online bookings.
To enable:
Click Booking Settings
On the General tab
Tick Enable Terms and Conditions for bookings
Save
How this appears to bookers
Acceptance is displayed on the review page of the booking process (just before payment).
Bookers cannot proceed to the payment page until they have ticked the Terms and Conditions checkbox.
The label includes a direct link to your Terms and Conditions.
3. Terms and Conditions acceptance logs
For every acceptance, Membermeister automatically records:
The exact Terms and Conditions link at the time of acceptance
The IP address of the person submitting the form
The date and time of acceptance
The form or booking process where acceptance occurred
These logs capture a complete audit trail should you ever need to confirm who agreed to what and when.
