To record a cash, cheque or bank transfer payment, open the invoice and click the green Payment button. Enter the amount, the date it was paid and how it was paid, then click Submit.
For: team members with Full or Finance access.
Good to know
The Payment button only appears when the invoice has no GoCardless or Stripe payment on it. Once an online payment has been added to an invoice, payments for the rest of it can't be recorded manually.
Draft invoices and invoices that are already paid in full don't show the Payment button either.
Step 1: Open the invoice
Click Invoices, then Overview.
Find the invoice and click it to open it.
Step 2: Enter the payment details
Click the green Payment button. A small window opens:
Amount - filled in with the amount still owed. Change it if the customer paid only part of it.
Paid on - the date you received the money. It's set to today, so change it if the payment arrived earlier.
Method - how they paid: Cheque, Cash, Bank Transfer, Direct Debit, Credit Card, Debit Card, PayPal, Voucher or Other. It's set to the method this customer used last time, or Bank Transfer if they haven't paid before.
Notes - optional, for example a bank reference.
Step 3: Save the payment
Click Submit. The payment then shows in the Payments panel on the invoice.
To thank the customer, tick send thank you before you click Submit and write a short message. This option only appears if the customer has an email address.
If you can't see the Payment button
Why | What to do |
The invoice is a draft | Click Send invoice, or Mark as sent if you've already given it to the customer another way, then record the payment. |
The invoice is already paid in full | Nothing is owed, so there's nothing to record. |
The invoice has a GoCardless or Stripe payment on it | You can't add a manual payment to it. Wait until the online payment has cleared, open the More menu and use Write-off as unpaid for the remaining balance, then Duplicate the invoice (also in More) and send the copy to collect the rest another way, for example by bank transfer. |
Made a mistake?
You can remove a payment you recorded by hand by clicking the x next to it in the Payments panel. See Removing a payment from an invoice.
