Use these handy templates to prepare your student and timetable data for import into membermeister

We hope this handy guide will make it super simple for you to be able to provide us with your student data and timetable information.

Our aim is to make this process as straight forward as possible but if you do need assistance don’t hesitate to contact us.

This article will show you how to complete our downloadable student data and timetable templates.

Getting started

First off, download the two zip files containing the templates:

Once downloaded, unzip the files.
You will notice that we're providing the spreadsheet templates as Excel format and Numbers (for Mac)

Student data preparation

Open the Excel or Numbers file, depending on your preference. Excel is typically available on Windows whereas Numbers is popular with Mac users.

Now transfer your student data into the spreadsheet. Complete one row per student as shown in the video below.

  • Only a first and last name is required but the more fields you can complete the better.

  • The column fname is the first name of the student, lname the last name.

  • Columns prefixed with p1 stand for parent 1, fields prefixed with p2 stand for parent 2. These fields are optional but if you provide a name here then a parent record is created and a parent/child relationship is set up.

  • For date of birth, please use the format dd/mm/yyyy or leave blank if unknown.

  • Note: you may wish to create a flat structure by only providing student details but assign the parent's mobile and email to the student. That is perfectly fine, especially if you do not have parent details.

  • You can create additional columns as you see fit and add the necessary data for each student. If the field is for Photo Permission or a similar field that would typically be a checkbox then please use Yes, No or leave blank.

  • Partial data is not a problem. If you are for example missing a data of birth for some students but have it for others then simply leave some fields blank.

Timetable data preparation

Open the Excel or Numbers file, depending on your preference. Excel is typically available on Windows whereas Numbers is popular with Mac users.

Now transfer your timetable details into the spreadsheet. Complete one row per class as shown in the video below.

  • Add a class name in the first column.

  • Provide a price in the second column and a pricing scheme (Class or Term) in the third.

  • Location is optional and can be left blank.

  • Provide a start date and the number of weeks the class runs for - base this number on the term duration that you'd like us to initially set up in membermeister. Classes can later easily be rolled over from term to term.

  • Add the start and end time for each class.

  • Optionally, enter a teacher name in the final column. If you supply a teacher name then please use first name and last name or Ms/Miss/Mr plus last name.

  • Note: the timetable import does not support any additional columns beyond what is provided in the template.

Uploading your data securely to us

Once completed, please follow the personal upload link that has been provided to you after you registered with membermeister. You can find this link in one of several emails that you should have received.

If, for some reason, you have not received the upload link then please contact us and we will help.
It's fine to send the timetable data to us via email but we do not recommend sending the student data that way due to the personal details it contains.
