Configure your account for class and trial bookings

This guide walks you through how to set up your membermeister account to accept online bookings for classes and trials.

The video below is a walkthrough of the entire setup process, with a written guide underneath.

Connect a Payment Provider

The first thing to do is to ensure your Stripe account is connected to your membermeister account. This is required to accept payments for bookings. Here is a guide on how to create and connect a Stripe account.

Enable Bookings

1. In membermeister, navigate to the Classes tab and at the top of the screen and select Bookings.

2. To the right of the page below the search box click Enable Bookings.

On the next page you will see a short walkthrough video showing how the feature looks to your customers, as well as an outline of the benefits. When ready, click Get started.

You'll now be guided through the four steps to setting up your online booking form! To get started, click the blue Next button in the bottom-right corner.

Step 1: Add classes to your booking page

Choose the classes you'd like to make available for bookings.
You can choose from:
-Active and upcoming classes;
-Upcoming classes only;
-Or specific, manually selected classes.

You will have the option to add and remove classes later, should you change your mind. When you have finished selecting the classes you want to display on the booking form,, click Next.

Step 2: Apply booking settings

At this point, you can set whether students can book the entire class term or individual lessons (Pay-as-you-go). To do this select the radio button next to the one of the two options.

If you select Individual lessons, you will be prompted to set a lesson price.

Tips for setting up a price per lesson:

-If your class is priced per lesson and you want to use that price regardless of whether the customer select one or all lessons, you can leave the field blank.

-If your class is priced per lesson on your timetable but you want to charge the customer a different rate when they haven't booked all lessons in a term or block, enter the value here.

-If your class is priced per term/block on your timetable, you will need to enter a price per lesson. This price will be used as the individual lesson price for pay-as-you-go classes if the customer selects one or more lessons in the class. Should the customer select all lessons in the class, they will be charged the class price you've set on your timetable.

Next you can set if there a maximum capacity for the class, and whether to add students to a waiting list, or prevent bookings at all if that class is full.

Configure Trials

Next, you can set the options for trial lessons, which includes:

- Whether to allow trial lessons.

- Set the number of trial lessons and their price (can be free or paid).

- Define capacity for trial bookings.

In the example above, this would allow a maximum of five students to book a trial that spans two lessons, costing a total of £10 per student. If there is no maximum trial capacity, the Trial capacity field can be left blank.

If a maximum class capacity has been set, this will include trials. So if the class capacity was set to 10 and trial capacity was set to 5, the maximum number of overall bookings including trials would still be 10.

As examples, at maximum capacity this could mean:

-10 class bookings with no trials,

-1 trial and 9 class bookings,

-5 trials and 5 class bookings.

Step 3: Set Payment Preferences

Here you can choose to either absorb transaction fees or pass them on to your customer.

The customer will see that there is an online booking fee in additional to the class or trial price, if you choose that option.

When finished, click Next to continue.

Step 4: Publish the form

At this stage you can:

-Specify a title for the booking page

-An email address that booking notification will be sent to

-Set whether the page is published (visible to customers) or unpublished (hidden from public view).

When you have completed this step, click the blue Publish button. Once published, the system will generate a link to your bespoke booking form which you can share with your customers. You will also have the ability to share links to specific classes as well.
